The Missing Link for PracticeQ

Mountain Vista Psychology is a growing mental health practice with a strong focus on clinician experience and operational excellence. As the practice scaled, leadership needed a clearer view into capacity, utilization, and performance — without spending hours every week stitching together reports from spreadsheets, limited tools inside PRacticeQ, and disconnected third-party systems.

Like many healthcare organizations, Mountain Vista Psychology relied on a fragmented set of tools to manage scheduling, intake, clinician workload, and operational reporting. Administrative staff often had to switch between as many as seven different software systems during a single new-patient scheduling call, creating unnecessary friction and increasing the likelihood of errors.

As a result, intake calls frequently took 20–30 minutes per patient, and the practice regularly carried a backlog of roughly 15 patients waiting on call-back lists at any given time. With three office locations and more than 35 practitioners, leadership lacked a clear, real-time view into how capacity, utilization, and staffing decisions - affecting the business day-to-day.

They needed software that could serve as a single, reliable source of truth for operational metrics and workflows. Leadership required at-a-glance visibility into capacity and utilization to support better decision-making, while the underlying system needed to remain flexible enough to evolve as workflows, staffing models, and business priorities changed.

Bowtie partnered with Mountain Vista Psychology to design and build the missing link for their PracticeQ, a custom web application purpose-built for behavioral health operations. We were able to capture data from PracticeQ and other sources to create a single interface that centralized booking, patient match, clinician payroll, operational reminders, and provides role-specific insights that help the practice run more smoothly.

We worked side-by-side with the Mountain Vista Psychology team to define the most valuable workflows, then built a new dashboard intentionally designed to fit the practice—rather than forcing the practice to adapt to rigid software.

It provides a centralized view of key operational signals, with workflow-driven tools that mirror real clinical and administrative processes. Built-in reporting and visibility support better planning and decision-making, while a scalable foundation ensures the platform can continue to evolve through ongoing iteration and future enhancements.

The new dashboard app and PracticeQ API integration helped Mountain Vista Psychology significantly reduce operational friction and regain clarity across the organization.
